Intern – CEO’s Right Hand / Office & People Assistant

Main Mission**

Working alongside the CEO, you will actively contribute to structuring and ensuring the smooth day-to-day operations of the company.

Your role sits at the crossroads of executive assistance, human resources, team engagement, and office management.

You will help create a structured, efficient, and motivating work environment.

Responsibilities

1. CEO Support & Internal Coordination

  • Assist with agenda management and prioritization

  • Prepare meetings (agendas, materials, minutes)

  • Follow up on cross-functional projects

  • Coordinate between teams

  • Support the structuring of internal documentation

  • Assist with accounting follow-up

2. Human Resources & People Care

  • Support the recruitment process (CV screening, interview coordination)

  • Draft and publish internship / apprenticeship job postings

  • Track applications

  • Update HR dashboards and tracking files

  • Prepare contracts and administrative documents

  • Support employee file management

3. Onboarding & Offboarding

  • Prepare onboarding kits (equipment, access, documentation)

  • Organize onboarding schedules

  • Present internal tools

  • Update the employee handbook

  • Contribute to continuous improvement of the employee experience

  • Support offboarding processes

4. Team Life & Company Culture

  • Organize team moments (team lunches, afterworks, offsites)

  • Support internal communication initiatives

  • Implement well-being initiatives

  • Monitor team climate

  • Contribute to building and formalizing company culture

5. Office Management

  • Manage orders (supplies, equipment)

  • Liaise with service providers (coworking spaces, IT, etc.)

  • Handle office logistics

  • Organize business travel

  • Track subscriptions and internal tools

  • Optimize collaborative tools (Odoo, Confluence, etc.)

6. Tools & Process Improvement

  • Formalize internal procedures

  • Create templates

  • Automate simple tasks

  • Structure collaborative workspaces

  • Propose organizational improvements

7. Applications to Competitions & Calls for Projects

  • Monitor relevant competitions, awards, labels, and calls for projects

  • Analyze eligibility criteria

  • Coordinate required materials (data, metrics, storytelling)

  • Draft or co-draft application files

  • Track deadlines

  • Assist with pitch preparation and presentation materials

8. Event Research & Visibility Development

  • Identify strategic events (trade shows, conferences, networking events)

  • Analyze speaking opportunities

  • Track calendars and registrations

  • Coordinate logistics when participating

  • Conduct competitive and industry monitoring

9. Communication & Marketing

  • Contribute to the communication strategy

  • Assist with social media management

  • Draft content (posts, newsletters, short articles)

  • Update marketing materials (pitch deck, brochures, website)

  • Track basic performance metrics (engagement, visibility)

  • Coordinate with external providers when needed

Preferred Experience

Education

  • Bachelor’s or Master’s student (3rd to 5th year of higher education)

  • Business school, HR, communication, management, or equivalent
